1. UNIVERSAL SECURITY REQUIREMENT (All Tenants)
- To bring security protocols in line with industry standards, all current tenants must have a valid credit card on file immediately.
- You may still pay via Cash/Cheque/E-Transfer, but the card must be on file to maintain gate access.
- Important: While the card is required for everyone, Indoor Units must be on Auto-Pay (with credit card) to maintain current prices (see below).
2. MONTHLY AUTO-PAY (Indoor Units)
- Rate Protection: Tenants using automated credit card payments will have their rates frozen at current levels.
- Manual Payers: Tenants paying via Manual Credit Card (ie. tenant keying in card details and paying), E-Transfer, Cash, or Cheque will move to a higher “Standard Rate” and must prepay in 3-month blocks.

Effective January 2026, Battleford Mini-Storage is updating its billing policies to handle rising operating costs—including property taxes, insurance, and maintenance—while ensuring we continue providing the lowest advertised rates in the Battlefords.
IMMEDIATE REQUIREMENT: CREDIT CARD ON FILE
To bring our security protocols in line with industry standards, all current tenants must have a valid credit card on file by March 1, 2026.
- Action Required: Please contact Geri at 1-306-490-9068 (Mon–Fri, 10:00 AM – 5:00 PM) to securely update your file.
- Universal Policy: This applies to everyone, regardless of payment history or whether you pay by cash, cheque, or e-transfer.
- We require a card on file as a Digital Security Deposit against damages or abandonment, similar to renting a hotel room or a car.
- Visa/Mastercard Debit Card Users: We CAN accept a bank Debit Card if it displays the Visa or Mastercard logo.
- (Security Warning: For your protection, DO NOT email your credit card number).
WHY THE CHANGE?
- Rate Protection: While competitors are increasing fees, we are freezing your current rate if you utilize our automated payment system. Battleford Mini-Storage has absorbed rising costs for seven years without a significant price hike.
- Administrative Efficiency: Manual payments (E-Transfers, Cheques, Cash) require manual processing that is no longer sustainable at our current low price point. Moving to Auto-Pay allows us to keep your rent locked in without adding a general price increase.
THE NEW 2-TIER OPTIONS
OPTION 1: THE “AUTO-PAY” RATE (Best Value)
- Cost: You lock in the lowest monthly rate (your current rate).
- Requirement: A valid Credit Card or Bank Debit Card showing the Visa/Mastercard logo. (We can process your standard bank card if it has these logos). (We do not accept Amex)
- Frequency: Charged automatically on the 1st of each month
- Benefit: No price increase, no late fees, and no risk of lockout
OPTION 2: THE “MANUAL PAY” (Standard Rate)
- Cost: A higher standard rate applies to reflect the increased administrative time and delinquency risk
- Requirement: Prepayment in full in minimum 3 month blocks
- Security Note: You must still have a valid credit card on file, even if you choose to pay manually.
- Frequency: Must be prepaid in 3-Month Blocks minimum

DATA SECURITY GUARANTEE
We use QuickBooks Online, a global leader in financial software.
- We do not see your number: When we input your card, it is instantly “tokenized” (encrypted) and stored on QuickBooks’ secure servers.
- We do not keep paper records: Your card number is never written down or stored in our office.
- Verification: A one-time $1.00 authorization may be processed to validate the card (this is deducted from your next bill).
CONSEQUENCE OF NON-COMPLIANCE
- Month-to-Month Tenants: A valid card on file is mandatory for continued tenancy effective March 1, 2026. Accounts without this security may be issued a Notice to Vacate.
- Prepaid / Fixed-Term Tenants: This requirement must be met prior to any lease renewal. Leases will not be renewed without a card on file.
MOVING OUT
To stop your monthly billing, tenants must give a minimum of seven (7) days’ notice prior to vacating. Once notice is received and the unit is confirmed empty and unlocked, your automated billing will be cancelled.
3. OUTDOOR COMPOUND CHANGES (Annual Model)
- Outdoor storage is moving to an Annual Pre-Pay Model (Jan 1 – Dec 31).
- Loyalty Rate: Current tenants secure a rate of $500.00/year for 2026.
- Snow Policy: No refunds for winter vacancies after September 1st.

2026 MARKET RATES & ANNUAL TRANSITION
Starting January 2026 BMS is standardizing all outdoor storage to a secure Annual Auto-Pay model. This means tenants will rent by the calendar year (ie. January 1 to December 31st), paying a lump sum pre-payment for the full year. Furthermore we are having to increase our rental rates to meet other market rental rates. Why the change?
- High Demand: We currently have a long waitlist. Moving to an annual model ensures we can focus on site security and maintenance rather than processing high-overhead monthly manual payments.
- Price for competing secured compound storage has increased in the Battlefords: We have not increased our prices in some time. Tagg Storage is $580/year, Lamon Is $540 to $720/year. Our new market rate for 2026 is $550.00. However, to reward our current tenants, we are offering you a protected Loyalty Rate of only $500.00 for the full 2026 calendar year.
- Efficiency for You: Automated annual billing means you have one less thing to worry about. You are set for the entire year with zero risk of missed deadlines or late fees.
THE OFFER: 2026 LOYALTY RATE
To reward our current tenants, we are offering you the Right of First Refusal to keep your spot at a discounted rate.
- Loyalty Rate: $500.00 (January 1, 2026, to December 31, 2026).
- Future Rates: Annual rates for the upcoming year are posted publicly on our website every July 1st. All tenants will be notified on July 1st what the 2027 outdoor storage rates are.
HOW THIS AFFECTS YOU
SCENARIO A: You are Month-to-Month (Paid to Feb 28th or sooner)
On March 1, 2026, your account will convert to the Annual Plan. The $500.00 loyalty fee will be charged to your card on file. Credit Applied: We will automatically apply a credit for any rent you have already paid for January and February 2026, so you only pay the difference.
SCENARIO B: You are Prepaid Past March 1, 2026
We will honor your prepayment. We will calculate the remaining balance for the 2026 calendar year, and top up your balance. This aligns you with the annual cycle while ensuring you don’t lose a penny of what you have already paid.
SCENARIO C: You Wish to Vacate (Spring/Summer Departure)
- Paid up to April 1st: You are good to go. Please notify us of your move-out.
- Not Paid to April 1st: Your existing monthly rate will be charged until April 1st.
- Overpaid: If you have prepaid past April 1st and choose to leave, we will reimburse the remaining credit once you have moved out.
- Notice: Please reply by January 31, 2026, to confirm your departure.
THE WINTER POLICY
Because outdoor stalls cannot be effectively re-rented during winter months, all tenants staying for the winter season must note our seasonal commitment deadline:
- Refund Deadline: To receive a pro-rated refund (calculated at $65/mo for time used), written notice must be received and the stall vacated by August 31st.
- Winter Commitment: Any stall occupied as of September 1st is committed through the winter season until April 1st of the following year.
